Getting started with Realty Flow

Realty Flow turns scattered text threads into a structured maintenance workflow. This guide walks through setting up your portfolio and running a request from intake to a documented, completed job.

1. Create your account

Sign up from the home page. New accounts start on the Free plan (up to 2 units and 1 vendor) and land directly in the dashboard. You can upgrade at any time from Dashboard → Billing; see Pricing for what each tier unlocks.

2. Add your properties

Open Properties and use + Create → New Property. Each property records its address, unit count, occupancy, and monthly rent — the dashboard uses these to compute occupancy and collected revenue. Your plan caps the total number of units; the app blocks a create that would exceed it and points you to an upgrade.

3. Invite tenants with magic links

Add tenants under Tenants, assigning each to a property and unit. Every tenant gets a private magic link (a unique URL) you can copy from the row actions and share by text or QR code.

Tenants open the link to submit a maintenance request — a short summary, details, category, and priority — with no account or password required. New requests appear instantly on your dashboard, and you receive an email notification (Starter plan and up).

4. Add vendors and dispatch jobs

Add your contractors under Vendors (name, trade, and contact). Like tenants, each vendor has a magic link to their own portal. From the vendor portal a vendor can:

  • See jobs assigned to them, plus unclaimed open jobs for your portfolio.
  • Claiman available job (which assigns it and moves it to in progress).
  • Update status as work proceeds — Start, Mark complete, or Reopen.

You can also assign a vendor to a task directly when creating or editing it on the dashboard.

5. Triage on the dashboard

The Inbox and My Tasks views give you the full maintenance pipeline: priority, category, property, assigned vendor, and status. Move a request through open → in_progress → done inline, and assign or reassign vendors as needed.

6. Vendor audit trail

Every vendor action — claimed, started, completed, reopened — is written to an immutable audit log. Open Activityin the sidebar to see a chronological record of who did what and when. Entries are append-only and can't be edited from the app, so the history is reliable for disputes and recordkeeping.

7. Email notifications

On the Starter plan and above, Realty Flow emails you when a tenant submits a request and when a vendor claims or updates a job, so you stay in the loop without watching the dashboard.
