Privacy Policy

1. Who this policy covers

Realty Flow is a maintenance-management tool for landlords (“Account Holders”). It also processes limited information about the tenants and vendors an Account Holder adds. If you are a tenant or vendor interacting with a magic link, the Account Holder who invited you is the controller of your data; we process it on their behalf.

2. Information we collect

Account information

When you create an account we (through our authentication provider, Clerk) collect your name, email address, and authentication credentials. We do not store your password.

Property and contact data you enter

To operate the service we store the records you create: properties (address, units, occupancy, rent), tenants (name, unit, lease dates), vendors (name, trade, phone, email), and maintenance tasks (descriptions, categories, priority, status, and activity history).

Billing information

Paid subscriptions are handled by Clerk Billing and its payment processor. We receive your plan and subscription status but do not store full payment card numbers on our systems.

Usage and device data

We use Vercel Analytics and Speed Insights to collect aggregate, privacy-friendly usage and performance metrics (such as page views and load times). We also keep standard server logs.

3. How we use information

• To provide, maintain, and secure the service.
• To authenticate users and process subscriptions.
• To send transactional emails — for example, notifying an Account Holder when a tenant submits a request or a vendor updates a job — via our email provider, Resend.
• To monitor performance, prevent abuse, and debug problems.
• To comply with legal obligations.

We do not sell your personal information, and we do not use it for third-party advertising.

4. Service providers

We share information with vendors that process it on our behalf, under contractual confidentiality and security obligations:

• Clerk — authentication and subscription billing.
• Supabase — database hosting for your application data.
• Resend — delivery of transactional email.
• Vercel — application hosting, analytics, and performance monitoring.

5. Data retention

We keep your information for as long as your account is active or as needed to provide the service. Some plans limit how far back request history is displayed, but records are retained until you delete them or close your account. You can delete individual records (properties, tenants, vendors, tasks) at any time from the dashboard.

6. Security

Access to your data is enforced by row-level security so that each Account Holder can only reach their own records. Tenant and vendor magic links are unguessable tokens that grant narrowly-scoped access. No method of transmission or storage is perfectly secure, but we take reasonable measures to protect your information.

7. Your rights

Depending on where you live, you may have rights to access, correct, export, or delete your personal information, and to object to or restrict certain processing. To exercise these rights, contact us at the address below. Tenants and vendors should generally direct requests to the Account Holder who invited them.

8. Children's privacy

Realty Flow is intended for business use by adults and is not directed to children under 16. We do not knowingly collect personal information from children.

9. Changes to this policy

We may update this policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, provide additional notice.
